A job application letter, also known as a cover letter, should be sent or uploaded with your resume when applying for a job. The job application letter is the first thing that a recruiter looks at. It is therefore important that you get it right; make your first impression count.
A job application letter is your opportunity to convince the recruiter that you are qualified for the position, that you have what it takes to deliver. Essentially, it is a summary of your resume—a more brief insight into your professional and academic accomplishments. The recruiter will use your application letter as a basis to decide whether to invite you for an interview or not.
Here are the major components of an application/cover letter.
1. Contact Information
The first section of your letter should include information on how the employer can contact you. If you have contact information for the employer, include that. Otherwise, just list your information.
2. Personal Information
Last Name, First Name

Dear Mr. /Ms. Last Name or Dear Human Resource Manager,
5. First paragraph
In the first paragraph, briefly explain why you are writing and state the specifics of the job you are applying for. Also include where you got information on the position you are applying for.
I am applying for the position of programme assistant, advertised in the news paper.
6. Second paragraph
Present your professional and academic qualifications relevant to the role you are applying for. Refer to the skills and competencies listed in the job description.
If you have no professional experience, cite personal skills and relevant training to show that you are the right candidate for the position.
I have two years’ experience in project planning and management. I believe the skills acquired over this period make me the perfect candidate for the position.
7. Third Paragraph
Cite practical and relevant examples from your experience to emphasise what you can do for the company. Your examples should be as specific as possible.
In my current position as programme assistant for organisation X, I have been responsible for organising meetings and increasing the participation of our partners. In two years, I have organised 25 meeting and the participation of our partners has increased to 98%.
8. Fourth paragraph
Re-emphasise your interest in the position and that you are the perfect candidate.
I am confident that I will demonstrate the same competences in your organisation. With my level of experience and skills, I believe I will be able to contribute to your vision of effective events management.
9. Closing the letter
Thank the employer for their time. Refer them to the CV for more details regarding your work experience and skills. Indicate that you would like to meet and discuss further the details of your application.
Sign off your cover letter with ‘Yours sincerely’ (if you know the name of the human resource manager) Yours faithfully’ (if you do not), and your name.
